Student Evaluation of Teaching and Courses Exercise for School of Business

The Quality Assurance Directorate, in collaboration with the Faculty Quality Assurance Officer of the School of Business, conducted student evaluation of courses and teaching for the First Semester of the 2024/2025 academic year. The data collection period spanned from 17th to 28th March, 2025. The exercise was conducted online via Google Forms and was focused exclusively on Lecturers teaching Level 200 courses. The customised Google Form was provided to the Faculty Quality Assurance Officer, who then shared it with all eligible teaching staff for onward distribution to students via WhatsApp or other appropriate communication platforms. A team of five (5), comprising QAD staff and National Service Personnel was put together to assist the Faculty Quality Assurance Officer in orienting and educating the students on the importance of the assessment for each course during this period. Only Lecturers who received a minimum response rate of 50% +1 from their respondents had their data processed for analysis. The Directorate has since finalised the evaluation reports and submitted them concerned Lecturers, Dean of the School of Business, and other appropriate stakeholders.

Development of Proposed Guidelines for Implementation of Faculty Excellence Awards of UEW

Consequent to the directive from the Academic Board during its meeting on February 2023, the QAD was tasked to develop guidelines for implementation of Faculty Excellence Awards. The guidelines looked at the Overall Goal of the Award Scheme, Eligibility Criteria, Duration of Awards, Conditions and Procedures for Nominating Candidates, Panel Composition, Prizes and Sources of Payment, Procedure for Awards, Announcement and Award Ceremony and Inquiries. The awards were categorized into two (2); Overall Outstanding Lecturer of the Year and Faculty Outstanding Lecturer of the Year.

The Guidelines for the Excellence Awards developed by the Directorate received approval from the Academic Board for publicizing and implementation by the Office for Institutional Advancement.

Monitoring of End of Semester Examinations

The Directorate has monitored all End-of-Semester examinations for regular programmes both in Winneba and Ajumako campuses and the College for Distance and e-Learning (CODeL) for the past six (6) academic years.

Reports on findings are sent to respective Faculties and Colleges whilst collated reports are presented to Management for consideration.

Review of GTEC’s New Standards

The Director of Quality Assurance was part of the team tasked with the revision of Standards and Norms for Tertiary Education Institutions in Ghana undertaken by the Ghana Tertiary Education Commission (GTEC) in collaboration with Educational Sub-Saharan Africa (ESSA) in April 2022.

Surveys

The Directorate has conducted nine (9) assessment surveys between 2022 and 2025. These include:

  • Survey on Students’ Residential Facilities at UEW – Ajumako Hall (January, 2025)
  • Survey on Students’ Residential Facilities at UEW – Ghartey Hall (January, 2025)
  • Survey on Students’ Residential Facilities at UEW – Kwegyir Aggrey Hall (December, 2024)
  • Assessment of Infrastructural Defects at North Campus Lecture Theatres and Jophus Anamuah-Mensah Conference Centre (January, 2024)
  • Safety and Security of Winneba Campus (October, 2023)
  • Healthcare Delivery Services at COLANGE Clinic, Ajumako (June, 2023)
  • Catering Services at Faculty Food Court, Winneba Campus (June, 2023)
  • Healthcare Delivery Services at University Clinic, Winneba (March, 2022)
  • Catering Services at Food Production Unit, Winneba Campus (March, 2022)

Reports on findings were sent to respective Offices, Colleges and Directorates whilst collated reports were sent to Management.

Sensitization Forum on Digitization of Appraisal of Courses and Lecturers

Over the years, the Quality Assurance Directorate has been assessing teaching and learning manually. Even though the assessment had been successful, it came with some limitations. The Directorate engaged all Academic Staff in a faculty-based sensitization forum on the need for the digitization of the assessment of teaching and learning.  In all, seven (7) Faculties out of the then nine (9) were successfully engaged.

Interaction with Library Staff

In February 2022, the QAD had an interaction with the University Librarian, Sectional Heads, Faculty Librarians and Administrative Staff of the University Library. Among the achievements of the University Library highlighted were the establishment of the Central Campus library, procurement of the plagiarism checker, and braille library set-up.

The staff mentioned delays in requisition processes, inadequate support from Academic Staff, need for a new ultra-modern University Library, poor education on Information Literacy, non-usage of the Central Campus Library, dilapidated bookshelves, inadequate Staff, and lack of adequate furniture as the hindrances to their services.

Interaction with Staff of Estate Section

The QAD held an interaction with the Estate Officer and the Heads of Units of the Estate Section in March 2022. Among the achievements of the Estate Section mentioned were successful valuation of all bungalows of the University, success in carrying out its responsibilities in the organisation of events such as matriculation, congregation, public lectures, etc.

The challenges highlighted include mobility challenges, inadequate office space and human resource, issues of overtime payment and inadequate imprest. Other noteworthy issues raised include the non-regularization of casual and part-time staff who have served beyond 10 years, and the excruciating retirement package for same group of workers.

Familiarization Visit by the Finance Officer

The Quality Assurance Directorate team in May, 2022 met the Finance Officer and his team during his familiarization visit to Deans and Director.

Issues deliberated on during the meeting included budgetary constraints which hinders the Directorate’s achievement of yearly Operational Plans. The team also looked at how best other faculties and the central pool can absorb some of the cost of certain specific initiatives the Directorate undertakes. Lack of staff motivation especially in the arears of payment of honorariums for assessment surveys conducted and inadequate budget for staff retreat.

Interaction with Departmental Graduate Coordinators

In May 2022, the QAD held a meeting with Graduate Coordinators of all Departments to discuss issues on graduate teaching and learning in the University.

The meeting was necessitated by the need to understand the work schedule of Graduate Coordinators and challenges hindering the execution of the task assigned to them. It also aimed at proposing recommendations to help improve the quality of service delivered to the Graduate Students. Key issues discussed included Graduate Students Completion rate, Ethical Clearance, Assessment of Graduate teaching and learning, Assessing Results and Transcripts, Selection of Supervisors, Lack of Succession Plan, Workload of Assessors, and Availability of Graduate Lecture Halls.
